1. Who we are
Bromley AI Club ("we", "us") is run by A2JS Technologies Ltd, a company registered in England and Wales (company number 16561028). We are the controller of the personal data described here. You can contact us at contact@bromleyai.club.
2. What we collect and why
| What | Why | Lawful basis |
|---|---|---|
| Your email address, when you sign up to our mailing list. We also record when you signed up, the page you used and the consent wording you saw. | To email you news about future Bromley AI Club events. | Your consent. |
| Your name, email and message, when you email us. | To reply to you and keep a record of the conversation. | Our legitimate interest in answering enquiries. |
| Ticket details (name, email, payment status), when you book through Luma. | To run the event, check people in and contact you about it. | Performing the ticket contract with you. |
| Access or dietary needs you tell us about. | To make the event work for you. This can be health information, so we only use it with your consent, which you give by telling us. | Your explicit consent. |
| Photos taken at our events, which may show you. | To show what the club does on our website and social media. | Our legitimate interest in promoting the club. You can object (see section 8 below and section 7 of our Terms). |
| Technical data (IP address, browser, device), when you visit our website. | To deliver the site securely. | Our legitimate interest in running a secure website. |
We do not sell your data. We do not use it to make automated decisions about you.
3. Mailing list
We ask you to tick a box before the signup form appears. We then send a confirmation email and only add you once you click the link. Every email has an unsubscribe link. You can also email us to be removed. Withdrawing consent is as easy as giving it. We only send news about Bromley AI Club events. We do not add people who buy tickets through Luma to the mailing list unless they sign up separately.
4. Who we share data with
These companies process data for us:
- Kit (kit.com), to store the mailing list and send emails. Kit is based in the United States.
- Luma (luma.com), to sell tickets and manage guests. Luma shares guest details with us as the event host. Luma uses Stripe to take card payments. We do not see your full card details.
- Google Workspace, which hosts our contact@bromleyai.club mailbox.
- Netlify, which hosts our website.
Our website also loads fonts from Google Fonts and country flag images from flagcdn.com. Your browser sends your IP address to them when it loads these.
We may also share data if the law requires it.
5. Transfers outside the UK
Some of these providers process data in the United States and other countries. Where they do, they rely on safeguards such as UK-approved transfer clauses or the UK Extension to the EU-US Data Privacy Framework. You can ask us for more detail at contact@bromleyai.club.
6. Cookies
We do not use analytics or advertising cookies. The Kit signup form only loads after you tick the consent box. If Kit or Luma sets cookies on their own pages, their policies apply.
7. How long we keep data
- Mailing list: until you unsubscribe. We then keep a record that you opted out, and the consent record, for 12 months, so we do not email you again.
- Enquiries: 12 months after the conversation ends.
- Ticket and attendance records: 12 months after the event.
- Access needs: deleted within 30 days after the event.
- Photos: kept while we use them on our website or social media, unless you ask us to remove them.
8. Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict how we use it, or move it. You can object to use of your data based on our legitimate interests, including photos. You can withdraw consent at any time. Email contact@bromleyai.club. We will reply within one month.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, 0303 123 1113. We would appreciate the chance to fix it first.
9. Children
Under-16s are welcome at events with a parent or guardian. You must be 13 or over to join our mailing list. If you are under 13, a parent or guardian must sign up for you. Tickets should be bought by an adult (18 or over).
10. Changes
We will update this page if what we do changes, and change the date at the top.
